Lubes Audit Officer
Specifications:Full Time

Description:

The Lubes Audit Officer is responsible for ensuring timely and accurate fund confirmation, stock monitoring, product verification, and proper documentation of all lube-related activities. The role supports operational efficiency by coordinating with Finance, Sales, and Operations to maintain accuracy, compliance, and seamless depot processes at the Lubricants maufacturing plant.

RESPONSIBILITIES AND ACCOUNTABILITIES

  • Financial OperationsConfirm funds received from the Finance Department in real-time to support loading and product dispatch.
  • Review of loading tickets and customers’ balances
  • Review and validate refund requests from the Sales Department to ensure correctness and compliance.
  • Pre and Post payments review and verification of expense requests.
  • Carry out end-of-month cash count in line with audit and internal control procedures.
Stock & Inventory Management
  • Monitor raw material and finished goods stock levels daily and report variances promptly.
  • Review, validate and monitor store request and raw material consumption.
  • Production batch review and monitoring (base oil and addictive ratio and batch traceability control).
  • Conduct physical verification of purchased materials/items to confirm quantity, quality, and compliance.
  • Review and document cargo received from suppliers, ensuring consistency with expected volumes.
  • Security truck-in and truck-out review.
  • Perform end-of-month product and tank dipping to reconcile physical stock with system records.
Equipment Maintenance & Technical Support.
  • Monitoring of AGO receipt and consumption at the factory.
  • Respond to factory-related issues and escalate them as necessary.
  • Verify and monitor maintenance activities within the factory to ensure value for money.
  • Liaise with the Maintenance Department on technical/maintenance issues relating to the factory machines.
Reporting & Documentation
  • Prepare and submit monthly reports detailing key operational activities at the factory.
  • Provide timely reports and updates to the Line Manager and relevant departments.
Compliance
  • Ensure compliance with internal control processes, SOPs, and audit standards.
  • Perform any other duties assigned by the Line Manager to support smooth depot operations.
Qualifications and Requirements:
  • Bachelor’s degree in Finance, Accounting, or a related field.
  • Professional qualification such as ACCA/ICAN or equivalent- completed or in progress
  • 1-3 years of experience in audit roles within the oil and gas, retail manufacturing, or FMCG sectors.
  • Strong understanding of inventory management skills.
  • Analytical mindset with the ability to detect anomalies.
  • Proficiency in ERP systems and Excel
  • High attention to detail and strong reconciliation skills
  • Ability to work in a fast-paced, operational environment
  • Good stakeholder management (operations, factory staff, commercial teams)

RESPONSIBILITIES AND ACCOUNTABILITIES
  1. Inventory Accounting & Control: Maintain accurate records for bulk and packed lubricants across multiple warehouses and distribution points.
  2. Stock Reconciliation & Variance Management: Perform daily, weekly, and month-end stock reconciliations between physical counts and ERP balances.
  3. Investigate variances (production losses, handling losses, pilferage) and escalate unresolved issues promptly.
  4. Track and report stock losses against approved thresholds.
  5. Product Costing & Production analysis: Compute and maintain standard and actual product costs (base oil, additives, packaging, blending, logistics).
  6. Analyze production variances and yield losses to support operational efficiency.
  7. Support periodic review of cost assumptions and bill of materials (BOM).
  8. Margin & Forecasting Analysis: Monitor product profit margins and prepare cost performance reports to support management in pricing and budgeting decisions.
  9. Sales Reconciliation: Review and reconcile lubricant sales transactions across various channels to ensure all revenue is accurately captured and posted.
  10. Receivables Management: Monitor customer balances and support the follow-up of outstanding receivables to ensure healthy cash flow.
  11. Compliance & Financial Reporting: Prepare periodic financial reports on sales and stock positions, ensuring all records comply with regulatory standards and supporting annual audit processes.
  12. Data Integrity: Ensuring the accuracy and completeness of all inventory and financial data within the company’s ERP system.
  13. Stock Loss Control: Monitoring and controlling stock losses to ensure they stay within approved company thresholds.
  14. Valuation Accuracy: Ensuring lubricant inventory valuation aligns with established principles, such as FIFO (First-In, First-Out).
  15. Audit Readiness: Maintaining meticulous documentation of all transactions to facilitate smooth internal and external audits.
  16. Qualifications and Requirements:Bachelor’s degree in Finance, Accounting, or a related field.
  17. Professional qualification such as ACCA/ICAN or equivalent- completed or in progress
  18. 1-3 years of experience in accounting roles within the oil and gas, retail manufacturing, or FMCG (Fast-Moving Consumer Goods) sectors.
